Patient Account Officer Grade III - Permanent & Full-Time

 

The Dublin Dental University Hospital is seeking to recruit a Patient Account Officer in Patient Services to join the team as soon as possible. This post is a Permanent and Full-Time contract, Monday to Friday (35 hours) full-time business hours.

The overall purpose of the Patient Accounts Officer Grade III role is to work as a member of a busy team to deliver an excellent level of service to all patients, students and staff within the Hospital. The position reports to and is accountable to the Patient Services Manager (PSM) via the Patient Accounts Team Leader (in the absence of same Assistant Patient Services Manager) or by any other authorised designated officer that the responsibility is delegated to by the PSM and/or the CEO.


Outline of Duties and Responsibilities

The successful candidate will be responsible for duties related to the Patient Accounts department of the Patient Services team.  This will also include administering patient accounts services in an efficient manner and to provide an excellent service to patients, staff and students in relation to all patient accounts matters. 


Main tasks include but is not limited to:

Providing administration duties within the Patient Accounts area to support the functions of the department.  Ensuring that patient accounts administration is provided to patients, staff, students or other service providers of the DDUH.  Due to the ever-evolving nature of the Patient Accounts functions in the DDUH duties are subject to change in the event of changes to funding or process.


Duties include but is not exclusive to:

  • The generation and processing of patient invoices and reminders (including relevant checks) and postage.  If required the issue of credit notes, billing refunds, credit / debit journals via the Patient Accounts module of Salud. 

  • The processing and payment of patient accounts for any payments received to the DDUH either by telephone, in person or by electronic means.  Including providing patients or staff and students (third party agencies) with any necessary patient debtors information including the maximisation of payments at the source of patient contact. 

  • Responsible for dealing with the Patient Accounts telephones which includes answering all queries, follow up on queries and completing the call. 

  • Applying and processing credits for any services or patients exempt from fees.

  • Laboratory procedure approval including processing payments in line with policy and administration. 

  • Processing and administration of the funded schemes for services relevant to the DDUH including HSE medical card, paediatrics, oncology, SPNS etc. 

  • Scanning and saving any paper documentation relating to patient accounts.

  • Processing and administering post received including organising postage been sent externally.

  • Processing and providing tax claims forms for services received to patients where eligible. 

  • Patient Account Emails – including processing of emails / addressing queries / responding etc. as delegated. 

  • Balancing and closing of individual cash sheet including and processing to the Finance department.

  • Providing support where required to processing of health board referral and chairside billing.

The extent and speed of change in the delivery of services is such that adaptability is essential to this level of appointment. The person chosen will be required to maintain, enhance and develop their knowledge, skills and aptitudes necessary to respond to changing situations. Qualifications, Experience & Person Specification


Each candidate must have:

  • Leaving Certificate or equivalent/ECDL.

  • A minimum one year experience in an account setting role.

  • Excellent administrative and organisational skills with extensive experience in Microsoft, Outlook. Word, Excel, and the ability to manage a number of tasks simultaneously whilst maintain attention to detail.

  • Must be self-motivated, self-directed and work well on tasks as part of a team or alone.

  • Excellent communication and interpersonal skills; proven ability to relate effectively with staff, students, patients and visitors at all levels.

  • Willingness to be flexible and adaptable.

Desirable:

  • Previous experience in a hospital administration or out-patient setting would be an advantage. 

  • Microsoft Office Advanced Level User.

  • An understanding of the role of Patient Services in a Hospital environment.
